Customer Database Management


การบริหารข้อมูลลูกค้าอย่างมีประสิทธิภาพ
สิ่งแรกในการสร้างความสัมพันธ์ที่ดีกับลูกค้า
  • การรู้จักว่าลูกค้าของคุณคือใคร เช่น ลูกค้าของคุณทำธุรกิจอะไร, มีพนักงานกี่คน,มีปัญหาหรือความต้องการอะไร
  • ถ้าเป็นลูกค้าเดิมของคุณ ยังมีสิ่งที่คุณจะต้องรู้อีก เช่น ลูกค้าเคยซื้อสินค้าอะไรจากคุณไปบ้าง
  • ลูกค้าติดปัญหาในการใช้งานสินค้าอยู่หรือไม่ บริการที่ลูกค้าได้รับเป็นที่พึงพอใจหรือไม่ ฯลฯ
ซึ่งมีจุดประสงค์เพื่อให้คุณรู้จักลูกค้ามากขึ้นเพื่อให้มีการนำเสนอขายสินค้าหรือบริการที่ตรงกับความต้องการของลูกค้าได้ดีขึ้น

สำหรับการบริหารข้อมูลลูกค้าใน Prosoft CRM แบ่งเป็น 2 ส่วน
ส่วนที่ 1 จะกล่าวถึงการจัดการลูกค้าที่เราคาดว่ามีโอกาสจะซื้อสินค้าซึ่งจะเรียกว่า “ลีดส์” (Leads)
ส่วนที่ 2 เป็นการจัดการลูกค้าที่กำลังจะซื้อหรือ ผ่านการคัดกรองแล้วว่ามีโอกาสซื้อ สินค้า , บริการจากเราสูง
หรือลูกค้าซื้อสินค้าของเราไปแล้ว ซึ่งจะขอเรียกว่า “บริษัท” (Accounts) และผู้ติดต่อของบริษัทลูกค้าจะเรียก ว่า “ผู้ติดต่อ” (Contact)

Work Flow
1. เริ่มด้วยการได้มาซึ่งข้อมูล Lead ซึ่งอาจได้ข้อมูลมาจากแหล่งต่างๆ เช่น Internet, จัดCampaign, Tele Marketing, หนังสือพิมพ์ เป็นต้น
บันทึกเข้าโปรแกรม Prosoft CRM โดยตรงที่หน้าจอ Lead หรือ Convert จาก Campaign Response
นำเข้ารายชื่อ Email หรือ ข้อมูลสมาชิกจดหมายข่าว จาก Prosoft Email Marketing
นำรายชื่อผู้ลงทะเบียนในเว็บไซต์ของบริษัท, B2BThai, Web Board ต่างๆ
นำเข้าจาก แหล่งอื่นๆ ในรูปแบบของ Excel หรือ Text
2. เมื่อได้ข้อมูล Lead มาแล้วขั้นต่อไปจะเป็นการคัดเลือก Lead ว่าเป็นข้อมูลที่ใช้ได้จริงหรือไม่โดยอาจการพิจารณาความถูกต้องของข้อมูล เบื้องต้น แล้วใช้การส่งอีเมล์หรือการโทรไปสอบถาม นอกจากนี้สำหรับบางธุรกิจอาจจะต้องมีการพิจารณาความเป็นไปได้ในการซื้อ สินค้าหรือบริการจากบริษัทก่อน เพื่อประหยัดเวลาและค่าใช้จ่ายในการดำเนินงานต่อ โดยขั้นตอนนี้จะเรียกว่าการคัดกรอง Lead หรือ Lead Qualify

3. สำหรับ Lead ที่ผ่านการคัดกรองว่าเป็นข้อมูลที่ถูกต้องและมีโอกาสที่จะซื้อสินค้า/บริการของบริษัท
สิ่งต่อไปคือการ Convert เป็น Contact, Account, Opportunity ต่อไป

Tools
Prosoft CRM มีเครื่องมือในการจัดการข้อมูลลูกค้าเพื่อลดเวลาและปริมาณงาน ทำให้การทำงานมีประสิทธิภาพมากขึ้น

Create Quick สำหรับ ใช้ในการบันทึกข้อมูลลูกค้าแบบเร่งด่วนซึ่งจะคีย์เฉพาะข้อมูลที่สำคัญก่อน สามารถทำได้ในหน้าต่าง Lead, Contact, Account ที่ฟังก์ชัน More Action และสามารถมาคีย์ข้อมูลเพิ่มเติมที่เกี่ยวข้องกับลูกค้าเพื่อให้ได้ข้อมูลที่ ครบถ้วน

Find เพื่อ ความสะดวกและรวดเร็วในการค้นหาข้อมูล ซึ่งค้นหาข้อมูลได้ตั้งแต่ชื่อ นามสกุล ชื่อบริษัท หรือจะค้นหาข้อมูลแบบกำหนดเงื่อนไขก็ได้ และสามารถเลือกดูข้อมูลได้ว่าจะให้แสดงคอลัมน์ใดบ้าง เพื่อให้ได้มาซึ่งข้อมูลที่ต้องการได้

Merge Duplicate ใช้ สำหรับรวมข้อมูลที่ซ้ำกันของข้อมูลลูกค้าเพื่อให้ได้ข้อมูลที่สมบูรณ์ที่สุด สามารถเรียกใช้ได้ที่หน้าต่าง Lead ที่ฟังก์ชัน More Action เช่นเดียวกันกับ Create Quick

Duplicate Rule & Validate Empty Rule
เป็นการกำหนดเงื่อนไขเพื่อการตรวจสอบค่าซ้ำและค่าห้ามว่างโดยที่สามารถกำหนด ได้ว่าจะให้ตรวจสอบค่าซ้ำหรือค่าห้ามว่างจากอะไรได้บ้าง เช่น ชื่อบริษัท, ชื่อ นามสกุลผู้ติดต่อ, หมายเลขโทรศัพท์, อีเมล์ เป็นต้น ซึ่งจะสามารถตั้งค่าเริ่มต้นได้ว่าให้แสดงข้อความเตือนและยกเลิกการบันทึก หรือแสดงข้อความเตือนและยืนยันการบันทึกได้ เงื่อนไขเหล่านี้สามารถกำหนดได้แตกต่างกันออกไปขึ้นอยู่กับลักษณะธุรกิจของ แต่ละบริษัท

Copy สำหรับ ข้อมูลลูกค้าบางรายที่มีบางส่วนคล้ายๆกัน เช่น กรณีลูกค้าที่อยู่ในบริษัทในเครือเดียวกันเป็นต้น ถ้าใช้ Function Copy จะช่วยให้เราไม่ต้องเสียเวลาใส่ข้อมูลเองทั้งหมด

Import/Export ข้อมูล ในหน้า List สามารถ Export ไปใช้ที่อื่นได้ ไม่ว่าจะเป็น Excel, Text, HTML หรือ XML ข้อมูลที่ Export ออกมาจะได้รูปแบที่จัดเรียงสวยงามไม่ต้องเสียเวลาในการจัดเรียงข้อมูลใหม่

Assign ช่วย ในการมอบหมายลูกค้าให้กับพนักงานขายท่านอื่นดูแลรับผิดชอบลูกค้าต่อได้อย่าง ง่ายดาย ใช้ในกรณีมีลูกค้าใหม่เข้ามาหรือกรณีเปลี่ยนพนักงานที่ดูแลลูกค้าทำให้เกิด ความต่อเนื่องในการดำเนินงานซึ่งในการ Assign สามารถส่ง E-mail แจ้งเตือนให้ผู้รับผิดชอบและผู้ที่เกี่ยวข้องทราบด้วย

Share ปกติ Prosoft CRM จะช่วยในเรื่องสิทธิ์การเข้าถึงข้อมูลในทีมอยู่แล้ว แต่บางครั้งมีความจำเป็นจะเป็นต้อง Share ข้อมูลให้พนักงานอื่นที่อยู่นอกทีมหรือนอกสายงานด้วย ซึ่งสามารถเลือกระดับของการแชร์ข้อมูลได้ว่าจะให้พนักงานที่เราแชร์ข้อมูล ให้ทำอะไรได้บ้าง เช่น Read only, Edit, Delete

More Address เป็น การเพิ่มรายละเอียดที่อยู่อื่นๆ ของลูกค้าในกรณีที่ลูกค้ามีมากกว่า 1 ที่อยู่ได้ซึ่งสามารถใช้อ้างอิงได้ในขั้นตอนของการเลือกที่อยู่เพื่อการอ้าง อิงในเอกสารการออกบิลหรือเอกสารการส่งของได้

How to Compare and Merge Different Versions of a PowerPoint Deck

Just about everyone knows how to use Track Changes in Word, a handy feature that you can use to get feedback from several people and create a single, collaborative document. It’s not so easy to get the same sort of feedback with other kinds of documents, though, like spreadsheets and PowerPoint presentations. Well, I’ve got some good news: It might not be obvious, but you can solicit and incorporate feedback in PowerPoint almost as easily as you can in Word.
As the How-To Geek recently explained, you can compare changes in different versions of a PowerPoint deck and automatically accept or reject the changes. Here’s what you need to do:
Send a PowerPoint file out for review. After you get back the changed version of the document, open the original and, on the ribbon’s Review tab, click Compare. In the resulting file dialog, open the changed version of the file.
You should see the Revision pane on the right side of the screen. The top section — called Slide changes — contains each of the proposed changes from the second PowerPoint deck. In other words, this pane highlights anything that’s different between the two files. Click each item in turn to accept or reject the change into your original file. The bottom section (presentation changes) points out any added or deleted slides.
When you’re done, save the file. All of the changes will be incorporated in the original file. You can throw away the second file; you don’t need it anymore.

Top 10 Cities for Single Women

Back in early May, I wrote about the Top 10 Cities for Single Men based on housing data and other research provided by Rent.com.
We learned that single men own more often than they rent, are willing to pay more for convenience, and are (shocking!) less likely to manage their own household chores. We also learned that Texas, the East Coast and warmer climates like Miami, New Orleans and Los Angeles beckon the unmarried male renter.
Of course this begs the obvious question: What about all the single ladies? What are they looking for when it comes to selecting a city to call home? What kinds of housing stock attracts independent women?
To find the answers to these questions, Rent.com recently surveyed single U.S. female renters and homeowners to better understand their habits and attitudes toward their bachelorette pads. Here’s what they learned:
  • Forget about the Sex and the City stereotype of the urban single woman on the continuous manhunt. A mere 17 percent of female renters desire unattached men as neighbors. 25 percent of respondents would prefer to have a cat or dog next door in favor of a date-seeking male. This stands in contrast to the 45 percent of male renters who desire proximity to unmarried women. Sorry guys.
  • More than a third of all single women rent. 36 percent of single women are renters, 54 percent own their homes, and another 10 percent live with friends or family for free (mostly recent college grads under the age of 25).  And those women who live independently don’t want to share their space! Only 9 percent of unattached females choose living quarters with a roommate.
  • Single women are thrifty. 57 percent of those surveyed listed home value or apartment affordability as their top priorities.
What do these statistics say about the modern single lady and her motivations when entering the housing market?
According to Christina Aragon, Director of Strategy & Consumer Insights at Rent.com, “In today’s society, women are choosing to get married later in life, pursuing higher degrees and continuing to close the salary gap. Never-married women are also now earning 94 percent of what their single male counterparts are earning, which has increased over the years. Because women are delaying marriage and starting families later in life, they are also therefore living alone for longer periods of time.”
So which urban areas present that perfect package of professional opportunity, social engagement and hot date potential that appeals to the modern single woman? Check out these Top 10 Cities for Single Women:

8 Things You Should Never Say to Customers

Great customer relationships: Hard to establish, easy to ruin — especially when you say the wrong things.
Here are eight things you should never say to customers (even if you would secretly love to):
  1. “No.” A boss once told me, “Never tell a customer no. Always say, ‘Yes, we can. Here’s what that will cost.’” If you absolutely can’t provide a certain product or service, you can’t, but often you can’t simply because you don’t want to. (In the example above I didn’t want to. What the customer had asked for was certainly possible but would have been a real pain to pull off.) Price unusual requests accordingly: If you can make a decent profit, why not? Making a profit is why you’re in business.
  2. “Are you sure?” Customers are often wrong. Too bad. Never directly doubt their statements or their feelings; all you’ll do is make an already bad situation a lot worse. Instead ask questions or seek to better understand. Saying something like, “Can you walk me through that one more time so I can make sure I can take care of what went wrong?” validates the customer’s position while helping you keep the conversation objective and solution-focused.
  3. “What you should do is…” Don’t tell me what to do. Help me. That’s why I came to you.
  4. “That’s against our policy.” Maybe it is against your policy… but if the customer wasn’t aware of the policy ahead of time, who cares? Any terms or conditions not spelled out in advance are irrelevant to the customer. Imagine you’re a customer who finds out after the fact that special order items can’t be returned — how would you feel? Refer to policies or conditions when the customer was fully aware of and agreed to those conditions; otherwise, find a way to fix the problem. Unstated policies are your problem, not the customer’s.
  5. “No problem.” Maybe this is just a pet peeve, but I’m always irritated when, say, I ask a waiter for dressing on the side and he says, “No problem.” I know he means “yes,” but “no problem” still implies I really am causing a problem. When I’m the customer, I’m favoring your business with my patronage; your business isn’t doing me any favors, so never imply you are. Replace “no problem” with “yes.”
  6. “Let me try to do that…” Customers care about results, not effort. Tell me what you will do. “Trying” creates greater uncertainty, and uncertainty is the kiss of death to a customer relationship. If a client requests an accelerated delivery, say, “I’ll call our distributor and get the best schedule possible.” All you can do is all you can do.  Don’t imply you’re working extra hard on my behalf by “trying.”
  7. “Let me know if you have any other problems.” If a customer comes to you with a problem and you think you’ve resolved that problem, great. But don’t expect the customer to contact you if other issues pop up; follow up a couple days later to make sure all is still well. Solving a customer’s problem meets expectations; following up to see if they need further assistance shows you care.
  8. “I’ll get back to you as soon as I can.” Maybe you will… but in the meantime the customer is left wondering what “soon” means. Always specify a time. If, when that time comes, you still don’t have all the information you need, contact the customer and say so — and say when you’ll follow up again. Customer relationships are based on managing expectations; “as soon as I can” sounds good but fails to set an expectation the customer can count on.

หน้าที่และความรับผิดชอบ ( ภาพรวม ทั้งนี้เนื้องาน ขึ้นกับรูปแบบธุรกิจเช่นกัน ):-

(1) วางแผนนโยบายด้านการตลาด ศึกษาความเป็นไปได้ของโครงการต่างๆ ทั้งภายในและภายนอกวิเคราะห์ธุรกิจ ศึกษาวิจัย พัฒนา พื้นที่เชิงพาณิชย์ ตลอดจนวิเคราะห์ปัจจัยที่มีผลกระทบต่อโครงการ กำหนดทางเลือก ประเมินข้อดีข้อเสียของแต่ละทางเลือก และจัดทำรายงานการศึกษาความเป็นไปได้ของโครงการ เพื่อให้เกิดประสิทธิภาพสูงสุด
(2) จัดทำแผนดำเนินงานด้านการพัฒนาธุรกิจ ขององค์กร ประสานและจัดทำแผนธุรกิจระยะ 1 ปี และ 5 ปี ตามกรอบแผนวิสาหกิจให้สอดคล้องตามนโยบายที่ได้รับมอบหมาย
(3) จัดทำฐานข้อมูลสถิติด้านต่างๆ ที่เกี่ยวข้องกับการพัฒนาธุรกิจ
(4) ศึกษาวิจัยระดับความพึงพอใจของผู้ใช้บริการในโครงการต่าง ๆ ที่องค์กรรับผิดชอบ
(5) บริหารจัดการการประมูลเช่าใช้พื้นที่เชิงพาณิชย์ทั้งหมดตามแผน ที่ส่วนพัฒนาธุรกิจกำหนด
(6) ควบคุม กำกับดูแลขายอาคาร จัดสรรการให้เช่าพื้นที่ โอน ส่งมอบ อาคารหรือพื้นที่ของโครงการศูนย์ราชการฯ และโครงการอื่น ๆ ให้แก่ลูกค้าจนเสร็จสมบูรณ์
(7) บริหารจัดการ การให้บริการต่าง ๆ แก่ผู้เช่าพื้นที่ ผู้ให้บริการ ผู้มาติดต่อ และผู้รับโอนหลังการขาย ตลอดจนดูแลลูกค้าหลังการขายเพื่อสร้างความประทับใจที่ดี
(8) ปฏิบัติงานอื่นตามที่ผู้บังคับบัญชามอบหมาย
(9) งานตามนโยบาย
  • กำหนด กลยุทธ์และวางแผนการดำเนินงานของหน่วยงานที่รับผิดชอบพร้อมทั้งควบคุมและ ดำเนินงานเพื่อให้บรรลุตัวชี้วัดผลการดำเนินงานตามหลักการ Balance Scorecard และเป้าหมาย (Targets) ของบริษัท
  • จัดทำงบประมาณประจำปี พร้อมทั้งบริหารการใช้งบประมาณของหน่วยงานให้เกิดประสิทธิภาพสูงสุด
  • วาง แผนและกำหนดแนวทางการบริหารและพัฒนาบุคลากรในหน่วยงานให้สามารถปฏิบัติงาน ได้อย่างมีประสิทธิภาพ รวมถึงประเมินผลการปฏิบัติงานของบุคลากรในหน่วยงานเพื่อให้เกิดความเป็นธรรม
  • ทบทวน ปรับปรุง และพัฒนากระบวนการและขั้นตอนการดำเนินงานของหน่วยงาน รวมทั้งติดต่อ ประสานงาน และการส่งมอบงานระหว่างหน่วยงานให้มีประสิทธิภาพและประสิทธิผล
  • ให้คำปรึกษาและข้อเสนอแนะเกี่ยวกัีบการปฏิบัติงานแก่หน่วยงานต่าง ๆ ทั้งภายในและภายนอก
  • คัด เลือก กำกับดูแล และประเมินผลงานของผู้ให้บริการภายนอก (Outsource) เช่น ที่ปรึกษาด้านต่าง ๆ ผู้ให้บริการด้านต่าง ๆ ในการดำเนินงานภายใต้ขอบเขตงานที่ดูแลให้เป็นไปอย่างมีประสิทธิภาพและ ประสิทธิผล

แผน ธุรกิจ คือ คู่มือในการดำเนินธุรกิจโดยนำเสนอการวิเคราะห์รายละเอียดธุรกิจในตัวแปรที่ สำคัญๆ คือ สินค้าหรือบริการที่ขาย กลุ่มลูกค้าเป้าหมาย จุดอ่อน จุดแข็ง โอกาสและอุปสรรคต่างๆของธุรกิจ

    เนื้อหาของแผนการตลาดต้องตอบคำถามหลักๆได้ดังนี้

    1. เป้าหมายทางการตลาดที่ต้องทำให้ได้ในระยะเวลาของแผนคืออะไร

    • เป็น รายงานสรุปขั้นสุดท้ายของกระบวนการทำบัญชี ที่แสดงให้เห็นถึงข้อมูลทางการเงินของธุรกิจในรอบระยะเวลาใดเวลาหนึ่ง เพื่อให้ทราบว่าธุรกิจมีฐานะทางการเงินอย่างไร กำไรหรือขาด เงินสดในกิจการเพิ่มขึ้นหรือลดลง และสาเหตุเกิดจากอะไร
